Categories of users in relation to personal information

The extent of information collected about your use of the AEShareNet licensing system will depend on how you access the site. There are three levels of access.

Anonymous Users

Use of any website provides information to the server about your Internet address, browser type, computer operating system, which pages within the site you visit, what searches you conduct on the site and similar information. TVET Asutralia Limited ("TVET") will use aggregated information from this source to understand where our users are located, to ensure that our website is as accessible as practical to our users, and to understand the patterns of use of the site. Except as described below, TVET does not intend to use this information to identify individual users or to track usage between different visits to the site.

Profile Users

You may voluntarily register details about yourself either when using the Feedback and Support functions, or by using the My Profile function.

If you decide to create a profile you must provide a name, an email address and a password so you can access your Profile at a later date. We do not collect postal address information for Profile Users and all other requested information is optional.

We use information in Profiles to:

Members

Member Users are acting on behalf of their organisation. When using the Members Area the identity of the individual user is stored against activities such as requesting, modifying and accepting a licence and reporting on royalties due. In some cases this information is displayed on-screen but in most cases information displayed on-screen and in reports is attributed to the Budget Centre or Member you are acting on behalf of, but the underlying individual user identity can be retrieved by TVET if necessary. A Profile is created automatically when you are created as a User by the Member Administrator for your organisation, however until you edit it, the profile will contain only your name and email address. As a Member User you may receive email from us even if you do not edit your profile information. You may add information to your profile if you wish to receive additional email according to your interest and job role.

What we don't do

The AEShareNet website does not create or use 'cookies', web-bugs or other contrivances to track users or for any other purpose.

With very limited and specified exceptions, TVET will not provide names, email addresses or any other information, about individual Profile Users or Members to any outside organisation. One exception is where you provide consent, or request us to release the information. We may occasionally agree to include information from outside organisations in email messages sent by us, but will only do so where the communication is relevant to your relationship with us. Another exception is where a legally authorised requirement exists to divulge the information.

Circumstances under which we will disclose information

TVET will comply with any legally authorised requirement to divulge usage information to another person or organisation. It also reserves the right to use the information in the event of any apparent attempt to misuse the website or to gain unauthorised access to functions on the site, including divulging it to an appropriate investigative organisation. It will not, however, voluntarily divulge it, other than in accordance with the conditions expressed in this paragraph.

If your Member Administrator has listed you as a contact person for your organisation's membership of AEShareNet, or as a contact person for one or more Budget Centres within a member, the AEShareNet system will also contain details of your (presumably work) phone numbers, address, fax and email address and this information will be available to members of the public requesting contact information about the Member and Budget Centre offering a particular material for licensing via the AEShareNet licensing system. Under the Privacy Amendment (Private Sector) Act 2000 you may request a copy of personal information held about you by an organisation.

Personal information in your Profile is created by you and you can access it directly using the My Profile function.

If you are a Member User, you should contact your Member Administrator in the first instance if you want to view or change information about your contact information and privileges as a Member. If you are not sure who your Member Administrator is, start with the State / Territory contacts on the Contacts page. Contact the TVET office only if you are not able to obtain this information from your Member Administrator.

Contact the TVET office if you want any additional personal information held by us which is not available as described above.

Controlling email received from us

You will receive email from AEShareNet if:

If you do not wish to receive email from us and you did not create a profile or are unable to amend or delete a Profile you created please contact the TVET office.

Please contact us immediately if you believe you are receiving unsolicited bulk email from other sources as a result of your email address being known to TVET.

Our policy on SPAM

It is the policy of TVET to comply with the SPAM Act 2003. As a Government not-for-profit organisation, we have an ongoing relationship with you as part of a range of Membership goods and services, or because you are working in the education or training arena. We have collected your e-mail contact address from information supplied by you through either an existing customer-business relationship, business networking, various publicly available business sources or your marketing promotions. We DO NOT use electronic address-harvesting software or lists generated from such software for the purposes of sending spam. If you wish to discontinue email communication, please follow the unsubscribe facility on the footer of all our email communications.
